Terms of Use

Last updated October 7, 2026 (effective October 7, 2026)

These terms apply when you use any of these services run by The Maintenance Line LLC, a Florida limited liability company based in Sarasota, Florida (“TML,” “we,” “us”):

  • the website themaintenanceline.com;
  • the tickets site at tickets.themaintenanceline.com, including the QR request forms, cleaning check-in pages, vendor application and vendor job links;
  • the client portal (tickets.themaintenanceline.com/portal);
  • the TML phone app for iPhone and Android; and
  • the ops site used by TML’s own team.

Together these are the “Services.” By using them, you agree to these terms. If you don’t agree, don’t use them.

1. Who these terms cover

  • Visitors to our website.
  • People who report problems by scanning a TML QR code (for example employees, residents, tenants, household members or guests at a location TML serves).
  • Cleaners who log a check-in by scanning a cleaning QR code.
  • Client users (Managers and Staff) who use the portal or app.
  • Vendors who apply to our bench or use a job link.

Signed agreements come first. If you have a signed agreement with TML, such as a Client Services Agreement or a Vendor Agreement, that agreement controls your relationship with us. If these terms conflict with it, the agreement controls. TML Workspace customers are covered by the TML Workspace terms at tmlworkspace.com instead.

2. What TML does

TML coordinates repairs for its clients. We don’t perform repairs. Vendors are independent businesses who contract with and bill our clients directly. We do not operate a phone line for requests.

3. Not an emergency service

For gas, fire, smoke, or danger to people, call 911 or the utility first. TML does not monitor reports around the clock and is not an emergency responder. Submitting a report does not guarantee that anyone will come, or when.

4. Using the forms and the app

4.1 Tell the truth. Give accurate information. Only report problems at the location the QR code belongs to.

4.2 Photos. Photograph the problem or the empty room only. Don’t include people, especially children, or private documents. Cleaning check-in photos must be taken with the phone camera at the time of the check-in.

4.3 Spam protection. Our forms limit how often one device or network can submit, use a device cookie and hidden checks to block automated submissions, and refuse reports for unknown or paused locations. A first emergency report always goes through.

4.4 Location check. At TML locations, QR request forms and cleaning check-in pages need your device’s location. They won’t send a report or check-in when location is off or not allowed, or when you are more than 5 miles from the location the QR code belongs to. Reports marked as emergencies or ASAP always go through; the report then notes that your location was off or how far away you were. For gas, fire, smoke, or danger to people, call 911 or the utility first. In the TML phone app, check-ins and visits at TML locations ask for your device’s location when you check in, start a visit or finish a visit. If you don’t allow it, you can continue by giving a reason, and the visit is marked Not verified. Being more than 5 miles away never blocks a visit in the app; it is marked Not verified. The app’s repair-request form doesn’t ask for location. Our Privacy Policy explains what we keep and for how long.

4.5 Accounts. Portal and app users sign in with a one-time code sent by email. You may turn on Face ID or fingerprint unlock on your phone; your phone handles that, and TML never receives your biometric data. Keep your email secure. Your business decides who has access, and TML may remove access at the business’s request.

4.6 Deleting your app account. You can delete your app account in the app (Settings, then Delete account) or at themaintenanceline.com/delete-account. This removes your sign-in, profile and devices. It does not cancel your business’s TML membership. Tickets you submitted stay in your business’s service records.

4.7 Notifications. If you allow it, the app sends push notifications (for example “vendor booked,” “needs your approval,” or reminders). You can turn them off in your phone’s settings.

5. What you may not do

Don’t use the Services to break the law; submit false, abusive or spam reports; upload anything harmful or anything you have no right to share; try to access accounts, locations or data that aren’t yours; interfere with the Services; or copy, scrape or reverse-engineer them.

6. Content you submit

You keep ownership of the photos and text you submit. You give TML, the business the report is about, and the vendor dispatched for that job permission to use it to handle the request, keep service records, and run the Services. You confirm you have the right to submit it.

7. TML’s content

The Services, our logo and our name belong to TML. You may not use them without our written permission, except to use the Services as intended.

8. Disclaimers and limits

The Services are provided “as is.” To the extent the law allows, TML disclaims implied warranties and is not liable for indirect or consequential damages, or for any vendor’s work. For people who are not TML clients or vendors, TML’s total liability related to the Services is limited to $100.

9. Privacy

Our Privacy Policy explains how we handle personal information.

10. Changes

We may update these terms and will post the new date at the top of this page. Material changes take effect 30 days after posting.

11. Law

These terms are governed by Florida law. Any dispute will be heard in the state courts of Sarasota County, Florida.
